Every ceramic piece made by White Oak Studio is thoughtfully made by hand. The same care goes into how we look after your information. Here's exactly what we collect, why, and how you can contact us about it.

White Oak Studio is a sole trader business owned and run by Kirsty Wood trading as White Oak Studio.

For the purposes of UK data protection law (the UK GDPR and the Data Protection Act 2018), White Oak Studio is the "data controller" of the personal information described in this policy.
The information we collect
We collect information in a few different ways:
● Directly from you, when you place an order, contact us, or sign up to our newsletter, you give us details like your name, email address, delivery address, and order information.
● Through our website provider, Wix. Wix hosts our website and may automatically collect technical information such as your IP address, browser type, and how you use the site, via cookies and similar technologies (see our Cookies Policy).
● Through our payment provider, Square. When you place an order, Square collects and processes your payment details and order information on our behalf. Square also keeps a record of your past orders against your customer profile with them, which lets us see your order history. We never see or store your full card details ourselves.
● Through our email marketing provider, EmailOctopus. If you choose to subscribe to our newsletter, your name and email address are stored with EmailOctopus so we can send you updates about new products, upcoming workshops, and events we're attending.
Why we use your information and our legal basis
● To fulfil your order — process payment, arrange delivery, provide customer service (necessary to perform our contract with you).
● To send marketing emails about new products, workshops and events — only with your consent, given when you subscribe. You can withdraw this at any time.
● To run, maintain and keep our website secure — our legitimate interest in operating a functioning, secure business.
● To meet our legal obligations — for example, keeping financial records for tax purposes.
Who your information is shared with and where it is stored
We use the following third parties who help us run White Oak Studio:
● Wix — our website and e-commerce platform
● Square and Tide — our payment processors
● EmailOctopus — our email marketing platform
● Google reCAPTCHA — used on our newsletter sign-up form to detect and block bots. This processes technical information such as your IP address and browser/device data; Google's privacy policy applies.
● Delivery and courier companies, to get orders to you
We do not sell your personal information to anyone.
Some of these providers may store or process information outside the UK. Where this happens, they're required to have appropriate safeguards in place, such as the UK's International Data Transfer Agreement or Standard Contractual Clauses.
Marketing
We only send marketing emails to people who've opted in to hear from us. Every marketing email includes an unsubscribe link, or you can email us directly to kirsty@whiteoakstudio.co.uk to be removed at any time. Unsubscribing won't affect order-related emails, which we still need to send to fulfil your order.
How long we keep your information
We keep order information for as long as necessary to meet our legal and accounting obligations (typically up to six years for tax purposes). If you unsubscribe from our newsletter, we'll stop emailing you, though EmailOctopus may retain a record of the unsubscribe so we don't accidentally email you again.
Your rights
Under UK data protection law, you have the right to:
● Access the personal information we hold about you
● Ask us to correct inaccurate information
● Ask us to delete your information, in certain circumstances
● Object to or restrict how we use your information
● Ask for your information in a portable format
● Withdraw consent to marketing at any time

Children
Our website and products are intended for adults. We don't knowingly collect information from children.
Changes to this policy
We may update this policy from time to time. The "last updated" date at the top will always reflect the latest version.
